There are a number methods for sharing videos in the CLE using the Media@UCSF plugin, and the upload process is similar for each. When you upload a new video using any method, it is automatically added to your My Media repository. Once you upload a video, it can be shared in multiple courses.
Upload Media
You can upload a video directly to your My Media repository for sharing at a later time, but in most cases, you will upload a video and share it at the same time (see the other tabs in this article). Either way, the upload process is the same:

Open your My Media repository (found in the profile menu, top-right of any CLE page).
- Click the Add New button and select Media Upload.
- Click the Choose a File to upload button, browse for and select the file, then click the Open button.
- A progress bar will appear, indicating the status of your upload. Provide a name and short description (optional) of your video.
- When complete, click the Save button.
- Then, to proceed:
- Click the Go to Media link to trim the video or adjust its settings.
- Click the Go to My Media link to return to your list of uploaded videos.
- Click the Choose Another File button to upload additional videos.
It may take several minutes for larger videos to process. During that time, Media@UCSF is creating different versions of your video to accommodate viewers of different screen sizes and Internet connection speeds. Please be patient!
Select Media
As you browse the other tabs of this help document, you may encounter a situation where you are trying to share a video that has already been uploaded. In those cases, click the Embed button next to your video, instead of using the Add New button to upload it a second time. You can also click the Embed settings button to control how the video is embedded, including player and frame size options.
Please note: Media@UCSF is not a file storage repository. Only videos that are actively shared with others in the CLE should be uploaded to the system. If you wish to backup or store video files, please use UCSF Box.

One of the most common methods for sharing video in a CLE course is with the Media Resource. This places an icon and a link on the course home page. When a course participant clicks the link, the video will open on a separate page.
- On the home page of your course, click the settings icon (top-right) and choose Turn editing on.
- Navigate to the topic section in your course where you want the video to appear, and click the Add and activity or resource link.
- From the chooser, select Media Resource and then click OK.
- Provide a name for the video, and a short description (optional).
- Click the Add Media button, this will open your My Media repository.
- Click the Add New button and choose Media Upload.
- Drag-and-drop your video file into the box provided, or click the Choose a file to upload button and browse for your file.
- Click the Save and Embed button (top-right of the window).
- Adjust other settings on the Media Resource page if needed, then click the Save and return to course button.
You should now see an icon on your course home page representing your media. Students will be taken to a separate page when clicking the link, where they can play the video, maximize, and set the playback speed.
Only course editors (instructors, managers, etc.) can add a Media Resource to a course.
Videos can be embedded into text boxes using the Embed Kaltura Media button in the text editor toolbar.
This means you can embed a video virtually anywhere in a course, including:
- On the course home page within a label
- In the description field of an activity or resource
- In a quiz question
- On a page
- In a forum post
For this example, we'll embed a video into a label, so the video can be viewed directly on the home page of the course:
- On the home page of your course, click the settings icon (top-right) and choose Turn editing on.
- Navigate to the topic section in your course where you want the video to appear, and click the Add and activity or resource link.
- From the activity chooser, select Label and then click OK.
- Click the Embed Kaltura Media button.
- Click the Add New button to upload, save and embed a new video.
- OR click the Embed button to choose and embed video that was uploaded previously.
- The hyperlinked text string is the embed code for your video. Do not edit link. When viewed by users, the video will appear in place of the text.
- Adjust other settings on the Media Resource page if needed, then click the Save and return to course button.
You should now see the video on the home page of your course, in-line with other content. You can repeat steps 4-8 anywhere you are able to edit text in the CLE.
Only course editors (instructors, managers, etc.) can add a Media Resource to a course.
The Media Gallery is like a private YouTube channel for your course. It is present in every CLE course, but it is often overlooked!
Instructors control whether or not students can also post to the gallery and leave comments on videos. When students are given access, the Media Gallery is very useful as a space for students to share and collaborate with their classmates (and remember, images and audio files can be uploaded as well!). The Media Gallery also provides easy-access to analytics, so instructors can quickly gauge student engagement with the videos.
To access the Media Gallery, open the navigation pane on the left side of your course, and click the Media Gallery button near the bottom of the list.
The icon in the top-right of the gallery provides instructors with access to the various settings that control how the Media Gallery is used in a course. The following options are available:
Enabling comments
- Enabling instructor moderation of comments
- Creating new playlists, or groups of videos within the gallery
- View and export analytics about how engaged viewers are with Media Gallery videos (i.e. how many views, how long users remain on each video, etc.)
- The ability to import content from another course's Media Gallery (you must have an editing role in the other course)
Media Gallery content does not "roll-over" into new courses as other course content does. If you want to import Media Gallery content from another course, you will use the Import option from within the new course's Media Gallery. Please contact us if you need help with this process, because extra considerations should be made if student-uploaded videos are involved.
